What this notice covers
This notice explains how AGS uses personal information when its WhatsApp Review service is connected to our business WhatsApp account. The service helps us avoid missing work we have agreed to do.
Information we use
The service may process your WhatsApp display name and phone number, message text or captions, timestamps, message direction and type, technical message IDs, and a short AI-generated task summary. It does not download attachments and does not send WhatsApp messages.
How and why we use it
Recent messages are checked for clear, outstanding work commitments or acknowledged client requests. Clear items may create a private reminder in AGS’s Google Calendar for the following morning. Unclear items are placed in a private review list for Rob to decide. We use this information to deliver client services, maintain accurate follow-up records and manage our workload. Our lawful bases are performance of a contract or steps at your request, our legitimate interests in providing responsive professional services, and compliance with legal or professional obligations where relevant.
Service providers
Meta provides WhatsApp message events. Google Workspace hosts the private message log, review sheets, Apps Script and calendar reminders. OpenAI’s API analyses the recent message text and returns task suggestions. These providers process data for AGS under their applicable contracts and safeguards. We do not sell this information or use it for advertising.
Retention and security
The private WhatsApp working log is automatically deleted after 90 days. Calendar reminders and task records may be kept longer where needed for client service and professional or legal record-keeping. Access is restricted to the authorised AGS account. Service providers may process data outside the UK using appropriate safeguards.
Your rights and deletion requests
Depending on the circumstances, you may ask for access, correction, erasure or restriction of your information, or object to processing. To ask questions or request deletion of WhatsApp Review data, contact info@ags-consultancy.biz with your name and WhatsApp number. We may need to verify your identity and may retain information where the law or professional rules require it. You may also complain to the Information Commissioner’s Office at ico.org.uk.
Automated decisions
The service only creates reminders and review suggestions. It does not make decisions that have legal or similarly significant effects.
Changes
We may update this notice when the service or law changes.
